As Fortress Operations’ business expanded from 7 to 30 McDonald’s Franchises the decision was made to deal with all the accountancy bookkeeping inhouse. A decision that has proven to be right with Fortress being able to reduce exposure to external accountancy costs and expand from 7 sites with one part time bookkeeper, to 30 restaurants with only 1 additional headcount. What were the main benefits brought to Fortress Operations with the implementation of PaperLess Software?

Well, we would have to say that one of the primary benefits is having instantaneous visibility of all costs going through the business and also the invoice approval process.

The approval process is the stand out positive attribute of Paperless. When dealing with thousands of invoices each month, the approval process has helped identify bogus invoices and incorrect charging rates from our suppliers, thus supporting further improvements in financial control.

In fact, we had various other companies approaching us with products purporting to offer the same selling points but after being used to PaperLess and see what the software has to offer, we decided to stick to the product. We also feel Paperless is more established and a company that we have a track record with.

 

Have the benefits achieved translated into effective savings?

It is always hard to place a number on saving achieved but, just as an example, PaperLess allowed us to capture around £5,000 of invoices that have been credited back to our organisation.

Whilst we are a large organisation with efficiencies of scale, when comparing our performance with the performance of other McDonald’s franchises we would say that with PaperLess we spend less £100-£200 less per month, per restaurant on accounting costs versus other McDonald’s franchises.
