When Dext Makes Sense (And When It Doesn’t)

Dext is a cloud-based document capture and pre-accounting tool. It extracts data from invoices and receipts using OCR and passes that data to connected accounting platforms.

For accountancy practices and bookkeeping firms managing document capture across dozens of clients, Dext serves a clear purpose. The multi-client model works well when you’re processing documents for 30 different businesses with 30 different accounting systems. The mobile app makes it easy for clients to photograph receipts and send them through. Setup is straightforward.

Where Dext Falls Short for Complete AP Automation:

No Native Approval Workflows – Dext focuses on capture and extraction. It doesn’t include configurable invoice approval workflows as a native feature. If your AP process requires routing invoices through department heads, finance managers and CFOs based on business rules, you’ll need to handle approvals separately – through email, through your accounting system, or through another tool entirely.

No Purchase Order Matching – If your business uses purchase orders and needs two-way or three-way matching as part of invoice processing, Dext doesn’t handle this natively. You’re matching POs manually or through your accounting system.

For businesses where PO matching represents a significant portion of AP workload (which is most businesses with structured procurement), this is a meaningful limitation.

Integration Layer Rather Than Native Connection – Dext connects to accounting systems via an integration layer rather than a live native connection. Data moves between Dext and your accounting platform through syncs rather than reading directly from the same database.

For most businesses, this works adequately. But I’ve seen situations where the Dext data and the accounting system data disagreed because the sync hadn’t run, or ran with errors. Finance teams then spend time reconciling the two systems – which defeats part of the automation benefit.

When Dext Is Actually the Right Choice:

If you’re an accountancy practice managing documents for 50+ clients across different accounting platforms, Dext’s multi-client model makes sense. The focus on capture rather than complete AP automation suits that use case.

If you’re a small business with very simple AP processes – no complex approvals, no PO matching, just capture and data entry – and Dext’s pricing fits your budget, it can reduce manual keying work.

But if you’re a UK finance team looking for complete AP automation – capture, approvals, PO matching and direct posting – Dext only solves part of the problem.

Where Zahara Works (And Where Integration Becomes an Issue)

Zahara is a purchase-to-pay platform with strengths in purchase order management, budget control and multi-step approval workflows. For organisations whose primary focus is procurement oversight and spend visibility rather than AP automation specifically, it has relevant capabilities.

Zahara’s Strengths:

The purchase requisition and PO management features are comprehensive. If your business wants tight control over what gets ordered before invoices arrive, Zahara provides that structure.

Budget control by department or cost centre works well for businesses that need to prevent overspending against allocated budgets. Finance teams can set limits and enforce them through the system.

Multi-step approval workflows are configurable and handle complex approval chains.

Where Zahara Falls Short for Sage Users:

The challenge I’ve seen with Zahara – particularly for UK teams running Sage – is accounting integration depth.

Sync Model Creates Data Risk – Zahara connects to Sage via a sync and export model rather than a live native connection. Data moves between Zahara and Sage through scheduled syncs rather than real-time reading and posting.

Some users have specifically reported data consistency issues when running Zahara alongside Sage 50 in cloud or remote desktop environments – a setup that’s increasingly common for UK finance teams as they move away from local servers.

When the sync model encounters errors or delays, the two systems hold different data. Finance teams then need to reconcile manually – exactly the kind of work automation is supposed to eliminate.

The Questions Finance Teams Should Ask Before Choosing

If you’re evaluating AP automation software for your finance team, here are the questions worth asking any vendor before committing. These are the questions that expose the difference between marketing claims and operational reality:

Does it cover the entire AP process – or only part of it? Ask specifically: capture, data extraction, approval workflows, PO matching, direct posting to accounting system. If the answer involves phrases like “we integrate with other tools for that” or “you can handle approvals in your accounting system,” you’re looking at partial automation.

How does it integrate with your accounting system? This is the question that matters most. Ask: “Is this a live native connection, or a sync layer?” If they say “we sync data” or “we export to your accounting system,” that’s not native integration. That’s two separate databases that need reconciling.

Is the vendor a certified partner of your accounting platform? Certification means the integration has been tested and validated against the platform’s own standards – not just built to connect. For Sage users, ask whether they’re a Sage Certified Partner. For Xero users, check Xero partner status.

How long does implementation actually take? Ask for a realistic timeline from signing to processing your first invoice. Not “the technical integration takes 2-4 weeks” – how long until your finance team is actually using it for real invoices?

How does pricing scale as volumes grow? Per-invoice pricing makes costs unpredictable as your business expands. Ask: “What happens to my costs if invoice volumes increase 50% next year?”
