1000+ Implementations | Expert in Invoice Management, AP Workflows and System Integration
Ask anyone who ran a purchase ledger fifteen years ago what their week looked like and you’ll hear the same story. Piles of supplier invoices next to the keyboard. Hours of typing figures into Sage. Filing cabinets that somehow never had the one invoice the auditor asked for. It worked, more or less, but it consumed people.
Having been involved in well over a thousand PaperLess implementations, I’ve watched that picture change almost beyond recognition. Invoice scanning software for Sage hasn’t just made an old process a bit quicker. It has changed what an accounts team actually does with its day, and that shift is exactly why CFOs and Finance Directors, not just AP clerks, are now the ones driving these projects.
The way accounts teams used to work (and many still do)
A supplier invoice arrives, usually by email these days, sometimes still in the post. Someone prints it, or saves it into a folder with a naming convention that makes sense to whoever invented it. Then someone types in the details into Sage line by line: supplier, date, invoice number, net, VAT, gross, and nominal code. Then the invoice goes off for approval, often literally walked to a manager’s desk or forwarded in an email chain that quietly dies somewhere along the way.
Multiply that by a few hundred invoices a month, and you get the familiar symptoms: late payments, duplicate postings, month-end crunches, and a team whose most experienced people spend their time keying data instead of using their judgment. When I sit down with a Financial Controller for the first time, this is almost always the picture they describe. Not because their team isn’t capable, quite the opposite, but because the process gives them no room to do anything else.
What invoice scanning and invoice processing with Sage actually changes
The phrase “invoice scanning” undersells it, to be honest. Scanning a document into a digital archive is the easy part. The real change comes from what happens to the data afterwards, and that depends entirely on how deeply the software integrates with Sage. That’s why the PaperLess integration for Sage 50, Sage 200 and Sage Intacct is Sage certified; the software doesn’t just capture data, it knows exactly what to do with it inside Sage.
Data capture without typing
PaperLess uses a dual-layer OCR engine to read each invoice and extract the details an accounts team would otherwise type by hand, supplier, invoice number, date, net, VAT, gross, right down to line-level detail where needed. In practice, this cuts manual data entry by over 80%. The team’s role changes from typing to reviewing: a quick sense check, then post to Sage at the click of a button.
Invoices attached to Sage transactions, automatically
When you post a transaction, PaperLess attaches the invoice image directly to the Sage accounting line. That sounds like a small thing until the first VAT inspection or year-end audit after go-live, when retrieving any invoice becomes a ten-second lookup from within Sage rather than a trip to the archive room. For many of our customers, this alone justified the project.
Emailed invoices handled from the moment they arrive
Most invoices now arrive by email, so the process should start there too. With PaperLess Company Inbox, invoices emailed by suppliers are captured, processed and routed automatically based on rules the team defines once, no printing, no saving to folders, no copy-and-paste. Approval workflows then route each invoice to the right person, with the full approval history linked to the transaction in Sage.
Why CFOs and Finance Directors are paying attention
For the accounts team, the benefit is obvious: less drudgery, fewer errors, calmer month-ends. But the reason these projects increasingly land on the CFO’s desk is what automation does at a management level.
- Visibility. At any moment, a Finance Director can see exactly where every invoice sits – received, in recognition, awaiting approval, or posted. The “where is that invoice?” conversation disappears.
- Control. PaperLess enforces approval rules by supplier, department, project or amount, and the audit trail builds itself.
- Scalability without headcount. Growing invoice volumes stop being a hiring conversation. One of the businesses featured in our case studies doubled in size without expanding its AP team for over four years.
- Faster reporting. When invoices are captured and posted as they arrive rather than in batches, month-end stops being a scramble, and management accounts land days earlier.
None of this is theoretical. Our customer case studies cover manufacturers, hospitality groups, plant hire firms and accountancy practices, and the pattern repeats across all of them: the software pays for itself in recovered time, and the management team gains a level of oversight the manual process could never offer.
What the change looks like day to day
Here’s the part I find people underestimate. The biggest change isn’t the technology, it’s the shape of the working week. Accounts teams that used to spend two or three days on data entry now spend that time chasing genuine exceptions, tightening supplier relationships, and getting reporting out earlier.
And because PaperLess works from within Sage rather than alongside it, nobody has to learn a new accounting system. The team keeps working in Sage 50, Sage 200 or Sage Intacct exactly as before; the difference is that now recurring and time-consuming tasks are automatic. If you’d like a fuller picture of how scanning, recognition and approval fit together, our article on scanning and approving invoices with Sage walks through the complete workflow step by step.
Getting started is easier than most finance teams expect
A typical PaperLess implementation takes around two hours, not weeks, the integration with Sage does the heavy lifting. If you’re weighing up whether invoice processing automation makes sense for your organisation, the quickest way to find out is to see it running against real invoices.
