Since 1972 The Accounting Centre has been providing a differentiated and personalised service to businesses. As part of this strategy, the practice decided to implement a solution so that the clients no longer had to send their documents by post/email and that, at the same time, would enable them to automate the bookkeeping side of the business.
After several years of using PaperLess for Sage, The Accounting Centre still considers that PaperLess was the right choice with the Managing Director of The Accounting Centre saying “I like it, it works well for me and my business.”
The customer also stresses that when they first introduced Paperless it was a new thing and very few accounting practices had something similar, adding that PaperLess is probably one of the reasons why they are still in the lead.
I can hold my managers responsible for the costs incurred as they are involved in the approval process and they feel engaged in the financial results of the business too.
Mahmud Mahmud, Managing Director
The objectives
The Accounting Centre’s main objectives when implementing PaperLess were to move away from traditional printing/archiving and bring efficiency by utilising the invoice recognition feature. The practice also wanted software that would enable customers to easily submit, access, retrieve and approve invoices.
The Choice
PaperLess was the preferred choice due to its seamless integration with Sage. PaperLess ticked all the boxes and offered an easy integration with Sage.
Furthermore, PaperLess also gave The Accounting Centre access to online invoice approval, which for some clients was an added bonus. Also, the ability to read data from Sage was quite important, this meant that clients could check their accounts and have full visibility of all Sage transactions regardless of whether or not they were posted via PaperLess.
The implementation
The Accounting Centre describes the implementation process of PaperLess as a fairly straightforward process. According to the company’s representative, the software works well with Sage and is easy to learn too, especially for people who are already familiar with Sage.
The results
PaperLess seamless integration with Sage, the practice’s preferred bookkeeping software, made PaperLess a key part of the operation. Following the implementation of PaperLess, the customer reports that bookkeeping became quicker and that, when they first moved from direct postings to Sage to postings through Paperless, they experienced between 10% and 15% increase in productivity levels.
Besides being faster to post invoices through PaperLess than directly into Sage due to the automatic invoice recognition feature available in PaperLess, the built-in approval and automation features improve team efficiency. There were also savings experienced by not having to file and keep paper invoices.
With all invoices stored digitally, it is easier for clients to check their accounts and get better visibility throughout the period. According to The Accounting Centre Managing Director, Mahmud Mahmud, “it is great to be able to see old invoices and their trail (when received, approved, what it was for, etc) whenever needed without referring to a physical folder.”
The future
The practice has recently been upgraded to the latest version of PaperLess Software, which offers a brand-new graphic user interface, fully accessible via a simple web browser and a mobile app for approval of invoices. This new version makes it easier for the practice’s customers using Mac to use PaperLess while offering a new and more modern look and feel which is something the company’s representatives consider to be quite positive.
According to The Accounting Centre, there is always room for improvement, namely when it comes to speed and performance, but for them, PaperLess is a good fit for their clients and their needs and is one of the reasons why they are still in the lead.
